I see three major issues when trying to track club health:
1. Monitoring member turnover
2. Managing club speaking goals
3. Managing club leadership goals in the new CL Manual
To help manage these three areas of club health, I have developed a sign in sheet for members to check off that they attended what speaking project they finished, and what CL project they are working on.
I suggest that the following process be used with the sheet:
1. The Secretary collects and verifies the sign in sheet at the end of the meeting.
2. Within 24 hours, a report is sent by the Secretary to all members showing:
- A recap of the number of members in attendance
- Who spoke and what speech project they completed
- Who did a CL project and what project they completed
- Names of guests (from guest book)
- Who is assigned to what role for the next meeting
The raw data from the sheet can be used by the following club roles:
1. VP Membership to track who is attending and who needs a phone call or e-mail to encourage them to come back for a meeting visit
2. VP Education to track who is completing their Educational Projects
3. Secretary - To verify that the roles and guests entered during the meeting match the club master record
4. President - To gauge the overall health of the club and keep team focused on goals defined in the club success plan.
Hopefully this will get more clubs on track to complete more of their DCP goals for the next Toastmasters year.
